01 — The problem

A society runs on paper, WhatsApp and one person's memory.

Committees change every year. The register, the spreadsheet and the group chat do not survive the handover.

The gate can't reach the resident

A visitor arrives. The guard calls an intercom that rings in an empty flat, then makes a judgement call. Nobody records who was let in, or on whose word.

Nobody can point to who authorised the amount

Maintenance is collected at a rate someone typed into a spreadsheet. When a resident asks which AGM approved it, the committee goes looking for minutes.

Payments arrive as screenshots

Transfers land in the society account with no reference. Reconciling them against flats is manual, and the resident has no receipt they can trust.

Complaints go quiet instead of getting closed

A leak reported in a group chat scrolls out of view within an hour. There is no owner, no clock, and no record that it was ever handled.

A vote is only as good as who counted it

Show-of-hands at a thinly attended AGM, or a chat poll where everyone can see how their neighbour voted. Quorum is asserted, not proven.

Approval happens on the resident's phone, not at the guard's discretion.

The guard captures a walk-in visitor with a photo at the gate. The resident approves or denies in real time and the guard sees the decision immediately. Expected visitors are pre-approved and arrive with a QR code, with a manual fallback code when scanning fails.

Charges tied to a resolution

Monthly charges are attached to an AGM resolution rather than typed in by whoever is logged in. Bills generate automatically against that authorised rate.

Raise, assign, escalate, track

Per-society data isolation

Each society's records are isolated from every other society on the platform.

Mandatory two-factor auth

Every admin account requires two-factor authentication. It is not optional per user.

Genuinely secret ballots

Poll votes are unreadable to admins. The committee sees the result, never who cast what.

Quorum enforcement

A poll is only decided when quorum is actually met, rather than declared met.

Audit trail on approvals

Visitor decisions, vendor approvals and payment verifications are recorded with who and when.

Audit trail on billing

Changes to billing are logged against the AGM resolution that authorises the rate.
